How can I reassign an extension to a new user?

A step-by-step guide on how to reassign available extensions from the Customer Portal.

Users with PBX Admin access on the Customer Portal have the ability to manage their extensions and the extensions of other users in their company.

Note: This feature of extension reassignment can be done for available extensions and existing users only. To add a new phone, extension, or new employee, please submit a ticket to our service team.

Follow the steps below to reassign an extension from the Customer Portal:

  1. Log in with your PBX Admin account to the Customer Portal.
  2. From the Dashboard page of the Customer Portal, look for the Extension icon and click on it.
  3. Once the page loads, look for a drop-down list on the top right side on the screen (when first accessed it should show the current user's extension.)
  4. Click on the drop-down and find the extension you wish to reassign.
  5. Once you find it, click on it and the page will reload. As it reloads, you will now be able to edit this extension's information.
  6. To change the name of the person on this extension, go to the Extension tab to change the name. After entering the new name click on SAVE.
  7. To change the log in information, click on the Login Information tab.
  8. Proceed to enter the name and last name of the person who will have this extension.
  9. The proceed to enter their email address and assign a password.
  10. If this user will need Portal Access, make sure to enable it by switching the "Portal Access" option on.
  11. When all these settings are complete, click on SAVE.

In addition to reassigning the extension, we recommend checking the Voicemail Settings tab. This is to check if the "Voicemail to Email" feature was enabled for the previous person using this extension and to update the email to the new person's email on this extension.
